It is essential to ensure simple and transparent communication between all parties involved, so that applicants, IT managers and the management have an exact overview of the projects and their status at all times.

  • Time-consuming application process for paper-based processes

  • Difficult overview of projects and responsibilities in the absence of digitalisation

Application description

The IT Demand Approval App allows requests for IT projects or change inquiries to be created and to receive straightforward feedback from the responsible parties, who are automatically notified of the request via email.

The department-wide dashboard provides an overview of all requests including all relevant data, such as the name of the project or change request, the costs, the target date and the current approval status. The form itself changes dynamically depending on whether it is a project or a change request. In addition, various logical checks are carried out, e.g. for spelling errors in email addresses or correct date entries.

In the “My pending approvals” section, users can view the status of their own requests as well as those for which they are responsible.

After completing the form, staff can either save the request as a draft and complete it later, or start the approval process immediately. This sends an email to the other stakeholders and the IT partner. Depending on the size of the project, management approval may also be required. The responsible parties must be specified when the request is created. In the next step, the IT partner can process the business-relevant information and continue to approve or reject the request. If one of the parties rejects the application, a new application must be created in order to be approved.
