Application description

Optimized feedback

The developed application acts as a central touchpoint to handle all relevant documentation tasks in the maintenance department. The collected data forms the basis for any form of evaluation. User authorizations can be specifically controlled via a dedicated user administration. Such information as the status and processing location of each task, the employee responsible, necessary follow-up measures, material consumption and recorded metrics can be easily and quickly entered directly by the technician.

Using lists, the selection of technical locations and equipment is possible. Documentation of malfunctions is ensured by logging the orders after the malfunction has been rectified in a feedback. Round trips with planned activities at different plants/assemblies can be reported via a convenient function “collective feedback”. Required materials are posted directly as part of the confirmation. Various procedures are available for searching or selecting materials.

The confirmation of maintenance activities can be entered in one function, in the best case in one line including the execution times. The technical information including catalog values (damage pattern, etc.) can be entered directly. This includes recording long texts, entering measured values for the object, posting consumed materials, technically completing orders and notifications, and setting a new requirement in the form of maintenance notifications.

If the employee is active in several orders, he can – in one screen – confirm all orders at the same time. This saves time and increases the overview. Even complex confirmations take hardly more than a minute and the entire posting is carried out in the background by triggering the SAP standard transactions. An electronic shift report can be generated from the information obtained in this way. The paper-based shift book thus becomes superfluous. The maintenance system thus becomes a broad knowledge base that enables you to analyze and eliminate previously unrecognized weak points.

The resulting benefits are that the implemented SAP PM/CS system is better utilized and its value is increased. Costs are saved due to the reduced administrative effort involved in reporting back. At the same time, those responsible for maintenance have a better overview of the condition of the assets and thus make better decisions. Other departments can call up data directly from the system through the SAP connection. As a result of the direct recording of data by the craftsman, the value of the maintenance system is increased on the one hand and the error rate is reduced on the other.

BTC’s solution can be implemented within about two weeks. Comparable solutions require about three to five times more time and effort for preparation, implementation and training. The training effort for the craftsmen is only a few hours, instead of 2-3 days per employee. If the previous process consisted of paper processing, the time saved per order is about 30 minutes. With an average of approx. 100 orders daily, a saving of approx. 50 hours per day occurs. This not only increases employee acceptance of the application, but also leads to a short ROI.
